A 50+ site portfolio can't run on manual checklists. Most of what keeps it moving is workflow design, reusable components and automation, not headcount.

When I created the company's first SEO operating model, the first bottleneck was site build time — every new site was effectively built from scratch. Building a set of reusable Eleventy components, plus repeatable content, technical-QA and SEO workflows, brought end-to-end build time down from around a month to 2–3 days, and the portfolio scaled to 50+ live sites on that same foundation.

That same instinct — turn a repeated manual task into a workflow — extends past the build itself. Site content, backlink QA and content QA across the full portfolio now run through AI-assisted workflows that replace repetitive manual checks and centralise delivery in Notion, rather than living in someone's head or a scattered spreadsheet.

Builds, data preparation and outreach workflows are automated in Python and JavaScript where a script does the job more reliably than a person clicking through the same steps every week — reducing manual hand-offs across deployment and acquisition.

None of this replaces judgement — audits, prioritisation and strategy are still manual by design. It just means the repeatable 80% doesn't compete for the same hours.
